Letter of Credit Entry

 

This option provides facility to enter details related to Letter of Credit for all those Sales Orders that require Letter of Credit to be received from a bank.

 

A list of already existing Letter of Credits will be displayed as follows -

Search:

Enter any text you want to search in the list below. The search is applicable to all columns of the list. Once the text is entered, press <ENTER> key. As a result, the list will be refreshed with all those records that contain the entered text fully or partially. In order to go back to the original list, remove the text from the box and press <ENTER> key again.

 

Letter of Credits can be added, edited, and viewed provided the Role associated with the currently logged-in user through User Management has the respective rights to do so.

 

To 'Add' a Letter of Credit, click on the button and to 'Edit', click on the icon on its corresponding record. To view details of a particular Letter of Credit, <DoubleClick> on that record. As a result, following screen will be displayed -

Once entered, Letter of Credit details can not be 'Deleted' but can be 'Edited'.

Field Description of Letter of Credit Entry

Sales Order Details

Specify the Sales Orders for which Letter of Credit details have to be entered.

Year:

Denotes the Year of Sales Order.

 

While 'Adding', current financial year will be displayed by default. You can change it as per requirement.

 

In case of 'Edit' and 'View' modes, Year will be displayed automatically for the selected record. You can not change it.

 

Group:

Denotes the Group of Sales Order.

 

While 'Adding', click on the field to access a list of already defined Sales Order Receipt Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Group Code.

 

In case of 'Edit' and 'View' modes, Group will be displayed automatically for the selected record. You can not change it.

 

Site:

Denotes the location of the Sales Order.

 

While 'Adding', click on the field to access a list of already defined Sites for the currently logged in Company through Site Master option of Administrator Tools module. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site Code.

 

In case of 'Edit' and 'View' modes, Site will be displayed automatically for the selected record. You can not change it.

 

Number:

Denotes the Sales Order Number for which details have to be entered.

 

While 'Adding', click on the field to access a list of already defined Sales Order through Sales Order Receipt Entry option. Select your desired Sales Order from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Sales Order Number. Press <TAB>.

 

In case of 'Edit' and 'View' modes, Number will be displayed automatically for the selected record. You can not change it.

 

While 'Adding',

  • only those Sales Order Numbers will be displayed/accepted for which Letter of Credit details have not been entered yet.
  • only those Sales Order Numbers will be displayed/accepted for which 'Does this Sale Order Require LC Details?' flag is set as 'On' through Sales Order Receipt Entry option.

In case of 'Edit' and 'View',

  • only those Sales Order Numbers will be displayed/accepted for which Letter of Credit details have already been entered.

Letter of Credit Details

Once the Sales Order Number is selected, a grid will be displayed as follows -

 

 

While 'Adding', this grid will be displayed empty. You can start entering Letter of Credit details.

 

In case of 'Edit' and 'View' modes, this grid will be populated with Letter of Credit details belonging to the selected Sales Order Number. You can change them.

 

Field Description of the grid -

LC Number:

(Type : Alphanumeric, Length : 25)

Click on the field. Now enter the Letter of Credit Number. Press <TAB>. Please note that you can NOT change the value of this field in 'Edit' mode.

 

LC Date:

Click on the field. Now enter the date for Letter of Credit. Press <TAB>. Please note that you can NOT change the value of this field in 'Edit' mode.

 

LC Amendment Date:

Click on the field. Now enter the date on which Letter of Credit is amended. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

 

Issuing Bank:

(Type : Alphanumeric, Length : 40)

Click on the field. Now enter the Bank which is responsible to issue the Letter of Credit. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

 

Customer PO Number:

Automatically displays the Customer PO Number of the selected Sales Order Number for your reference. You can NOT change the value of this field.

 

LC Amount:

(Type : Numeric, Length : 9.4)

Click on the field. Now enter the Amount for which Letter of Credit has to be issued. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

 

LC Expiry Date:

Click on the field. Now enter the date on which Letter of Credit will be expired. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

 

Last Date of Dispatch:

Click on the field. Now enter the date on which Letter of Credit will be dispatched. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

 

Last Date of Negotiation:

Click on the field. Now enter the last date for negotiation on the Letter of Credit. Press <TAB>. Please note that you can change the value of this field in 'Edit' mode.

Once you have entered all the information related to the LOC, click on 'Save' button to save it or 'Cancel' to discard. The control will go back to the list.
